About the Role

PD Avengers is seeking an experienced, dependable Bookkeeper to manage the organization's day-to-day financial records and provide regular financial reporting.

The position will begin with a concentrated setup and onboarding period to review existing financial records, understand our accounts and reporting needs, establish or improve bookkeeping processes, and ensure that our financial systems are organized and current.

Once that work is complete, we expect the ongoing commitment to average approximately 5–10 hours per month, with additional time required for quarterly reporting, annual budgeting, and year-end preparation.

This is an independent contractor position suited to someone who is comfortable taking ownership of the bookkeeping function for a small nonprofit and working directly with the President, Board Treasurer, and external accountant.

Initial Setup and Onboarding

The initial phase may include:

  • Reviewing existing bookkeeping records, accounts, and financial processes.

  • Working with leadership and our accountant to understand the organization's financial structure and reporting requirements.

  • Ensuring the chart of accounts is appropriate for a Canadian nonprofit.

  • Organizing and reconciling historical transactions where required.

  • Establishing processes for expenses, invoices, sponsorships, grants, contributions, reimbursements, and other transactions.

  • Setting up consistent monthly reconciliation and reporting procedures.

  • Organizing financial records and supporting documentation.

  • Identifying any outstanding bookkeeping issues requiring attention.

Ongoing Responsibilities

  • Maintain accurate and up-to-date bookkeeping records.

  • Record and categorize income and expenses.

  • Manage accounts payable and accounts receivable.

  • Reconcile bank accounts and credit cards monthly.

  • Maintain supporting documentation for financial transactions.

  • Track revenue and expenses by program, campaign, grant, sponsorship, or other funding source where appropriate.

  • Prepare a monthly financial statement package for the President and Board Treasurer, including income and expenses, balance sheet, cash position, and current budget performance.

  • Prepare a quarterly budget-to-actual report highlighting significant variances, financial trends, emerging issues, and changes in projected revenue or expenses.

  • Assist with periodic financial forecasting and cash-flow planning.

  • Work with the President and Board Treasurer to prepare the annual operating budget.

  • Prepare the year-end bookkeeping package, including reconciliations, schedules, reports, and supporting documentation required by the external accountant and Board.

  • Prepare financial information as required for Board meetings, grants, sponsorships, government filings, and other organizational reporting.

  • Identify unusual transactions, missing information, cash-flow concerns, or significant budget variances and bring them to the attention of leadership.

  • Coordinate with PD Avengers' external accountant as required.

  • Assist with GST reporting and remittances where applicable.

  • Support required nonprofit filings and financial reporting.

  • Maintain organized financial records in accordance with applicable record-retention requirements.

  • Recommend practical improvements to financial processes and internal controls as the organization grows.

Qualifications

  • Demonstrated bookkeeping experience, preferably with a nonprofit, association, charity, or small organization.

  • Strong understanding of Canadian bookkeeping and accounting practices.

  • Experience preparing monthly financial reports and year-end records.

  • Experience with accounting software such as QuickBooks Online or similar.

  • Experience with bank and credit-card reconciliations.

  • Familiarity with GST and Canadian nonprofit financial requirements.

  • Strong attention to detail and ability to identify discrepancies.

  • Ability to work independently and meet recurring monthly deadlines.

  • Strong organizational and communication skills.

  • Comfortable working with spreadsheets, cloud-based systems, and digital financial records.

  • High degree of discretion when handling confidential financial information.

Experience with grants, sponsorships, restricted or designated funds, nonprofit Board reporting, and working with external accountants is an asset.

We listen to people affected by Parkinson’s, identify what matters most, connect lived experience with organizations, researchers, healthcare professionals, policymakers, and advocates, and help people around the world act on those priorities.

PD Avengers is a small Canadian nonprofit with a global reach. We operate with a lean team and rely on clear, accurate financial information to support responsible decision-making, accountability, and good governance.

What We’re Looking For

Because we are a small organization, we are looking for someone who is comfortable taking ownership of the bookkeeping function rather than working within a large finance department.

The right person will be dependable, organized, detail-oriented, and comfortable asking questions when something does not add up. They should be able to translate financial records into clear information that helps leadership and the Board understand where the organization stands financially.

We are also looking for someone who can help us build simple, practical financial systems that work for a small organization now and can scale as PD Avengers grows.
